Method 1. Encrypt Email Attachments in a ZIP Archive
When several files need to be attached together, a password-protected archive can combine them into one package. The example below uses WinRAR; menu names and encryption options may differ in another archive program.
- Install a trusted archive utility that supports password-protected ZIP files.
- In File Explorer, select the files or folder, right-click, and choose Add to archive.
Add the selected files or folder to a new archive.
- Choose Set password, enter a strong password, and confirm it.
Set the archive password before creating the package.
- Select ZIP when broad recipient compatibility is required, then create the archive.
- Attach the encrypted archive to the email and send its password through a separate channel.
Choose the archive format that the recipient can open.
Method 2. Encrypt Microsoft Office Attachments with a Password
Word, Excel, and PowerPoint can encrypt supported document formats with an open password. This is convenient when the email contains a single Office document and both sender and recipient use a compatible Office version.
- Open the Word, Excel, or PowerPoint file.
- Choose File > Info > Protect Document or the equivalent Protect Workbook/Presentation option.
- Select Encrypt with Password.
Choose Encrypt with Password from the Office protection menu.
- Enter a strong password, confirm it, and save the document.
- Close and reopen the file to verify that the password prompt appears before attaching it.
Confirm the password and test the protected file before sending it.
